Fuel Consumption Tracking

An effective way to reduce costs and optimize your operations.

Request a quote

Fuel consumption represents one of the largest operating costs for companies that manage vehicles, whether passenger cars, trucks or special-purpose vehicles. Tracking fuel consumption is a key component in fleet optimization, as it enables cost control, detection of irregularities and prevention of misuse. The PratiMe company offers professional solutions for tracking fuel consumption through a GPS system, ensuring transparency and full control over every aspect of fuel consumption in your business.

If you want to quickly check how much your vehicle consumes and how much that costs you per month, we built a free fuel consumption calculator - you enter kilometers and liters, and it calculates l/100km and the cost per kilometer.

Insight into fuel consumption

Truck on a palm

One of the most important features of a fuel consumption tracking system is providing a clear and precise real-time insight. The PratiMe system lets you have accurate data on the amount of fuel consumed at any moment, and to analyze that data across different time intervals and routes. This way you can identify vehicles that consume more fuel than expected and take appropriate measures to optimize their use.

In addition, the system enables the generation of detailed reports on average fuel consumption per vehicle or driver, which can be useful in implementing driver reward programs. Drivers who achieve the best results in efficient fuel consumption can be rewarded, further encouraging the adoption of more economical and environmentally friendly driving habits.

Changes in fuel consumption

Fuel consumption tracking systems make it possible to track every change in fuel level during driving. These changes can be tracked through graphical displays within the app, making it easy to identify critical points, such as fuel stations or locations where fuel theft is suspected. By analyzing this data, companies can identify irregularities in consumption, such as unplanned stops or unnecessary halts, which may indicate possible manipulation.

The system also enables automatic detection of unauthorized activity, such as a sudden emptying of the tank. In that case, the user immediately receives an alert via notification, or by email or SMS, enabling a quick response and preventing bigger losses.

Fuel probes

Fuel level tracking

Fuel probes are one of the options for precisely measuring the amount of fuel in a vehicle. The PratiMe system uses advanced digital probes that provide precise data on the fuel level in the tank. The probes record every change in fuel level and allow the driver or fleet manager to track the fuel status in real time.

Besides tracking the current fuel level, the probes enable analysis of refueling, which is important for detecting irregularities, such as incomplete or fraudulent refueling. This way, companies can have full control over every liter of fuel in their vehicles, significantly reducing the risk of theft or misuse.

Measuring fuel in static tanks

Besides tracking fuel in vehicles, the PratiMe system enables fuel measurement in static tanks as well, such as fuel depots or tanks for special-purpose vehicles. Measuring fuel in these tanks allows companies to track the fuel status in storage and analyze the refueling of vehicles. The system provides an instant overview of the fuel level, which is of key importance for planning operations, as well as for detecting possible misuse or leaks.

In addition, the system records the history of fuel levels in tanks, allowing users to analyze changes over time and draw key conclusions about how to manage fuel stocks more efficiently.

Benefits of fuel consumption tracking

By using a fuel consumption tracking system, companies can achieve a range of benefits:

  • Cost reduction - Precise fuel consumption tracking enables the identification of vehicles that consume too much fuel and the adoption of appropriate measures, reducing fuel costs.
  • Detection of theft and misuse - The system enables quick detection of fuel theft, reducing the risk of losses.
  • Fleet optimization - By tracking fuel consumption and identifying irregularities, managers can optimize routes and use vehicles more efficiently.
  • Increased efficiency - Implementing a fuel consumption tracking system helps drivers adopt more efficient driving habits, reducing fuel consumption and extending vehicle service life.
  • Automated reports - The system enables the generation of detailed fuel consumption reports, making it easier to make decisions based on precise and reliable data.

Why actual consumption differs from expected consumption

Fuel is the largest variable cost item in a fleet, but excessive consumption rarely has a single cause. In practice it is almost always a combination of factors that seem negligible on their own.

Driving style

Harsh acceleration, hard braking and driving at high RPM raise consumption on the same route with the same vehicle. That is why fuel data and driving style data are viewed together - without that, you can see consumption rising, but not why.

Engine idling

A vehicle standing still with the engine running does not cover any kilometers, but it still burns fuel. For vehicles that often wait during loading or unloading, this can be a significant part of monthly consumption, and it stays invisible in the classic liters-per-hundred-kilometers calculation.

Route and load

Terrain configuration, traffic density and cargo weight change consumption even when the driver is the same. Comparing consumption by route only makes sense if the cargo weight carried by the vehicle is also taken into account.

Losses that are not consumption

Some fuel is not consumed but disappears - siphoned from the tank or lost through short deliveries. This can only be reliably separated from actual consumption by measuring the level in the tank with fuel probes.

What fuel reports do you get

The goal of tracking is not just to know how much fuel has been used, but to see where more is being spent than it should, and to be able to prove it with numbers.

  • Consumption per vehicle and per driver - the same route and the same vehicle, different results; a basis for a data-driven conversation.
  • Consumption per route and period - daily, monthly or for a specific trip.
  • Refueling records - the time, location and quantity of every refueling, comparable to invoices.
  • Siphoning detection - sudden drops in level with the exact time and place.
  • Idle time - how long the engine was running while the vehicle was not moving.
  • Comparison with mileage - consumption that does not track distance traveled is the first sign that something is wrong.

Reports are generated automatically and can be delivered by email, so that control does not depend on whether someone got around to logging into the system (automatic reports).

Frequently asked questions about fuel consumption tracking

Do I need a probe, or is the data from the vehicle enough?

If your goal is to track the consumption trend, data via a CAN BUS adapter is often enough. If you suspect fuel losses and want a measurement you can rely on, you need a probe in the tank, since only that measures the actual level.

How is fuel theft detected?

The system tracks the level in the tank and records every sudden change. A drop in level while the vehicle is standing still, especially away from base and outside working hours, is reported as an alarm with the exact time and location, so the event can be checked while the circumstances are still fresh.

Can the consumption of heavy machinery be tracked?

Yes. For heavy machinery, mileage says nothing about consumption, since the machine burns fuel while working in one spot. That is why consumption is viewed in relation to working hours, not distance traveled.

Can I also track a tank at the depot?

Yes. Static tanks and internal pumps are tracked the same way as vehicles, so you can see how much fuel came in, how much went out, and whether the level matches the refueling records.

How much does fuel consumption tracking cost?

Fuel control is a module added to basic GPS tracking, priced from 8 EUR per vehicle per month. You can test the system free for 15 days - see the pricing details or call us for a quote.

What are smart fuel caps and when do they make sense?

Caps that log every opening and closing of the tank. They make sense as an extra layer of protection alongside the probe, on vehicles that often park away from base or where there have been suspicious drops in fuel level.

Can fuel control be combined with cameras?

Yes. If the area around the tank is covered by a camera, the probe data, the cap event log and the video footage are checked against each other, which is the highest level of control. More on the fleet safety and surveillance cameras page.
